Loan Policies and Procedures

Use of VIA Library and loaning materials are free of cost. Use of the computers at VIA Library is at your own risk

  • How to become a library user

    To take out loans, you must be a registered library user (a.k.a. a patron). Your health card is your library card. You are automatically registered as a patron when you begin your educational programme or employment with VIA.

  • How long can you keep library materials?

    You are personally responsible for your loaned materials and are responsible for returning them on time.

    You can see your loans and return due dates by logging on to your patron account and checking your loan status. You can find your patron account here VIA Library’s website.

    Loans can normally be kept for a month and return due dates will appear on your loan receipt.

    Inter-library loans are subject to the loan periods of the respective libraries.

  • Renew your loans

    If you wish to extend your loan period, you can do so yourself by logging on to your loan status on your patron account or by contacting VIA Library. You can renew your loans no earlier than 7 days prior to the return due date and only if there are no holds on the material.

  • Your holds

    Materials can be reserved and you will receive a message in your VIA-mail when the material is ready for pick-up. Holds will be kept on the holds shelf for 5 week days.

  • Overdue loans

    Based on the Library Law (Biblioteksloven) regarding fees in the governmental libraries, VIA Library has per 01.10.2023 determined the following fees for overdue loans

    Return due date reminder is sent out 3 days prior to due date. 

    Overdue fees and replacement fees:

    NB: If you renew the material after the return due date, the fee will still be due upon renewal.

    Return due date 2 days overdue
    1. A recall is sent out with a fee per material unit for 00,00 kr.

    Return due date 8 days overdue
    2. A recall is sent out with a fee per material unit for 10,00 kr.

    Return due date 31 days overdue
    3. A recall is sent out with a fee per material unit for 15,00 kr.

    Return due date 45 days overdue

    An invoice notice is sent out. The material is now due for replacement and is registered as missing. Here appears information regarding the replacement – which is the cost of the material* + handling costs for 35 kr. **
    It is still possible to return the material for 5 workdays after receiving an invoice notice.

    Return due date 60 days overdue
    An invoice from VIA Økonomi is sent out. The replacement fee is the cost of the material* + handling costs for 35 kr. **

    *The library determines the cost based on already know information. If the cost is unknown, the cost of the material is determined for 350 kr. per unit + handling costs for 35 kr.

    **It is no longer possible to return the material at VIA Library as the case has now been transferred to VIA Økonomi. The library is now in its right to reject the material and to maintain the invoiced amount as we at this point have initiated the process of re-acquiring the material.

    Return due date 70 days overdue
    An invoice reminder from VIA Økonomi is sent out.

    The case is transferred to the Danish Debt Collection Agency
    Return due date 80 days overdue, the invoice is transferred to the Danish Debt Collection Agency.

  • Paying fees and fines

    Fees for returning materials past due are paid electronically on the library’s website by logging on to your loan status. Should you owe 200 DKK or more, you will be blocked in the library system and will not be able to take out loans until your debt has been paid in full.

    After the case has been transferred to VIA Økonomi, it is no longer possible to return the material to VIA Library. Once the collection has been transferred to the Danish Debt Collection Agency, all enquiries must be sent to them.

    You will be blocked if you owe 200 DKK or more. If you have been blocked, please contact VIA Library upon replacing the material or paying the fee and VIA Library will cancel your block.

  • Special regulations for employees

    VIA employees are excepted from fees and handling costs. Employees must pay for lost books.
